01

Who we are

This notice is published by INVERSIONES P4 SAS (NIT 901.951.413-7), which operates Piso 4 at Calle 12 #11-62, cuarto piso, Centro, Maicao, La Guajira, Colombia. Contact: contabilidad.piso4@gmail.com, +57 300 739 6263.

It covers the Piso 4 Surprise Run Sheet app for Android and explains what happens to the information you enter in it.

02

What this notice covers

The notice covers the app on your phone: the occasions, surprise requests, guides, public holidays and pictures it shows, the moments you keep, and the ways the app hands a staff card or a guest invite to you to send.

It also covers the Piso 4 website. Its planner runs in your browser and keeps nothing: it uses no cookies, no browser storage, no analytics and no outside requests, and it forgets the plan when you close the page. An email you write from it reaches INVERSIONES P4 SAS and is handled as described in the sections on sending and on your rights. Once the site is hosted, the hosting provider may keep ordinary access logs.

03

What the app shows

The occasions, requests, questions, guides, public holidays and pictures are part of the app. They are shown without any network connection and reveal nothing about you.

04

The moments you keep

For each moment the app stores its code, the occasion and its title, the date, the arrival time and planned length, how many adults and children come, the honoree's nickname, whether it repeats each year, the toast choice, how many minutes earlier guests come, your private notes, the guest invite's own text (what to bring, what to wear and a note), whether you marked it done or cancelled, the code of the earlier moment it was planned again or duplicated from, and when you created, changed and sent it.

05

Surprise requests

For each surprise request the app stores its type, your details, who brings it, whether it is dropped off before, the drop-off margin, whether it needs to be kept cool, whether it is secret and the short plate message, if any.

06

The run sheet

For each cue the app stores when it happens (arrival, starters, mains, dessert, close, a set time or a hand signal), the minutes after that point, who acts, what happens, the signal, and whether guests may see it.

07

Guests and their notes

You can list guests by a nickname. The app stores the nickname, the diet marks you choose (no pork, no alcohol, vegetarian, no dairy) and an optional allergy note. Use nicknames, not full names; the app does not ask for ID numbers, birthdays or phone numbers of guests.

A guest's nickname appears on the staff card only when that guest brings something or acts on a cue; the honoree's nickname is on it. Diet marks and allergy notes appear only as counts.

08

Allergies and diet notes

Diet marks and allergy notes can reveal health or religious information, which Colombian law treats as sensitive (Ley 1581 de 2012, art. 5). They stay on your phone. The staff card carries only counts, for example "2 no pork, 1 vegetarian, 1 guest with an allergy note"; tell Piso 4 about any allergy yourself.

09

Children in your party

Guests and the honoree can be children. Their nicknames, diet marks and allergy notes stay on your phone like everyone else's. The staff card carries only nicknames (of the honoree and of anyone who brings something or acts on a cue), how many children come, and counts of diets and allergy notes, so that children are counted out of any drink with alcohol. Use nicknames, not full names, for children: data of children and teenagers has special protection (Ley 1581 de 2012, art. 7).

10

Your contact details

So that Piso 4 can reply, a staff card can carry your name and phone number. You type them yourself and only what you type is stored.

11

Where your data is stored

Everything you enter is stored in the app's private storage on your phone, in a database other apps cannot read.

Android backup is turned off for the app, so this data is not copied to a cloud backup or to another phone.

A closed wooden drawer

12

No account, no cloud copy

The app has no account, no sign-in and no server of its own. Nothing is synchronised and no copy exists outside your phone unless you send it.

An empty white plate

13

What the app does not collect

The app does not collect location, contacts, photos, files, device identifiers, advertising identifiers or usage statistics, and it contains no analytics or advertising code.

An unplugged cable neatly coiled

14

No internet access

The app does not request the Android internet permission. It cannot send anything by itself.

The guide names its official sources; tapping one opens that public page in your phone's browser, which then goes online on its own.

A sealed envelope

15

Share, email, copy and call

Share opens the Android share sheet with the staff card or the guest invite written in. Email opens your own email app addressed to Piso 4. Copy puts the text on the clipboard, and Call opens your phone app with Piso 4's number filled in; the call is made only if you start it. Nothing is sent until you press send in the app you chose.

When you come back after sharing or emailing a staff card, or after sharing a guest invite, the app asks whether you sent it. While it waits for your answer it keeps a short note of which moment, which text, which channel and a fingerprint of the plan; it removes that note when you answer or when you delete that moment. Only if you say yes does it record the time, the channel and the fingerprint as sent, so it can show that the plan was sent and whether it changed since. Copying is never recorded as sent.

A staff card you send reaches Piso 4 through the channel you used. INVERSIONES P4 SAS uses it to reply about what it can do on that date and to prepare that visit, and keeps it only as long as it needs for that; then it deletes it.

16

Repeats and duplicates

Repeat next year and Duplicate make a new moment on your phone from an earlier one, with a new code. The earlier moment stays as it was.

17

Your choices and rights under Colombian law

You can edit, duplicate or delete moments and guests at any time, and uninstalling the app deletes all of its data from your phone. Deleting a moment does not cancel anything you already sent.

For the personal data in a staff card you send, Colombian data protection law (Ley 1581 de 2012, art. 8, and Decreto 1377 de 2013) lets you know, update and correct it, access it free of charge, ask for proof of the authorisation you gave, be told how it has been used, ask to delete it and revoke your authorisation (art. 8 a, b, c, e and f). Write to contabilidad.piso4@gmail.com. Queries are answered within 10 working days (extendable by 5) and claims within 15 working days (extendable by 8) (Ley 1581 de 2012, arts. 14 and 15). You can complain to the Superintendencia de Industria y Comercio after your query or claim to INVERSIONES P4 SAS has been answered or its time has run out (art. 16).

This app keeps your moments on your phone until you delete them or uninstall the app. Personal data received by a company may be kept only as long as is reasonable and necessary for the purpose it was collected for (Decreto 1377 de 2013, art. 11): INVERSIONES P4 SAS keeps a staff card or an email only as long as it needs to answer it and prepare that visit, and then deletes it.
